Booking and Refund Policies

We understand sometimes it's necessary to change or cancel a booking. To ensure your satisfaction, we offer a several refund options based on when cancelation is made.

For wildlife-viewing and scenic tours, and the limited number of seats per tour, we recommend booking in advance to ensure availability. We also offer discounted rates for families and groups bookings of 6 people or more, as well as custom pricing for those wanting to secure tour or vehicle exclusivity.

We strive to provide a great experience for our guests, so we will always do our best to accommodate special requests and needs. Whenever possible, every effort will be made to accomodate guest scheduling needs.

Booking

  1. ​All tour bookings are subject to availability and black-out dates. Booking confirmation will be sent via email once your booking is confirmed.

  2. To book a tour, the customer must complete the online booking process and payment checkout.

  3. A 100% deposit is required to secure the booking.

  4. All tour prices are in USD and are subject to change without notice.

  5. We reserve the right to cancel or reschedule tours due to inclement weather, natural disasters, or other unforeseen circumstances.

  6. Customers must provide accurate information when making a booking. Any incorrect information provided may result in the cancellation of the booking without a refund.

Refunds

  1. If the customer cancels the tour more than 30 days before the tour date, they will receive a full refund of their deposit.

  2. If the customer cancels the tour between 30 and 14 days before the tour date, they will receive a 50% refund of their deposit.

  3. If the customer cancels the tour less than 14 days before the tour date, no refund will be issued.

  4. If we cancel the tour, prior to tour departure, due to inclement weather, natural disasters, or other unforeseen circumstances, we will provide a full refund of the deposit, or upon customer request rebook the tour for a later date in the same season-year.

  5. If we are required to prematurely end the tour once it has already departed, due to inclement weather, natural disasters, medical emergency or other unforeseen circumstances, customer will be offered the opportunity to rebook the tour for a later date in the same season year. In this instance requests for a refund may alternately be considered on a case-by-case basis.

  6. If the customer fails to show up for the tour, no refund will be issued.

  7. Refunds will be processed within 14 days of the cancellation date.

  8. We are not responsible for any expenses incurred by the customer due to a cancelled tour, including but not limited to travel expenses, hotel accommodation, or other costs.

GENERAL SAFETY GUIDELINES:

​1.1. Wildlife Viewing:

  • Immediately follow all tour staff instructions concerning wildlife.

  • Keep a safe distance from wildlife. Do not approach or disturb them.

  • Do not feed or touch any wildlife.

  • Always keep a watchful eye on your surroundings.

  • Notify tour staff of any wildlife they may not have noticed.

  • If you perceive there is a safety concern, tell a tour staff member immediately.

1.2. Vehicles:

  • All vehicles used for the tours are well-maintained and regularly inspected. Immediately report any perceived vehicle malfunction, damage, or other issue of concern to Staff for safety assessment.​

 

The following rules for riding in or using tour vehicles

shall be enforced by tour management:

  • Always wear a seatbelt and ensure it is properly secured when sitting or riding in a tour vehicle.

  • Stay seated and keep your seatbelt securely fastened until the UTV comes to a complete stop and your driver indicates it is safe to exit.

  • Follow all verbal instructions and hand signals given by the driver.

  • Keep your hands, feet, and all objects inside the vehicle while it is in motion.

  • Do not distract the driver or engage in reckless behavior while on the tour.

  • Respect the terrain and wildlife by not littering or disturbing the natural environment.

  • Always stay alert and aware of your surroundings.

  • If you feel unsafe or uncomfortable using or riding in a vehicle at any point, communicate with the driver and tour staff immediately.

  • Passengers are required to stay in the designated seating area and will not stand up or exit the UTV while it is in motion.

  • Passengers may not consume alcohol or drugs before or during the tour.

1.3. Equipment:

  • All equipment used for the tours will be in good working condition and is regularly maintained.

  • Safety equipment will be provided and must be worn as instructed and needed.

1.4. Weather:

  • Wildlife-viewing tours may be cancelled or cut short in cases of adverse weather conditions exceeding tour safety parameters. Weather events including but not necessarily limited to official storm warnings, high winds, heavy rain, or unexpected tidal conditions may be causes for cancellation.

    • In cases where tours are canceled before a tour begins guests will receive an opportunity to rebook their tour for another date or request a booking refund. Booking refund requests will be reviewed and processed within two business weeks or less.

    • In cases where tours are cut short due to adverse weather conditions or related unexpected safety concerns, AKScenic Tours will offer guests the opportunity to rebook and resume their tour on another date during the same touring season.

1.5. Medical Incidents and Emergencies:

  • In the event of a medical incident not requiring immediate primary medical treatment, staff will offer and on request provide basic injury assessment, first aid, and the option of tour termination and transportation to the guest’s personal vehicle, or assisted transport to the nearest medical facility.

  • In the event of a medical emergency, if the guest can be moved safely, they will be transported to the nearest emergency medical service provider or medical facility, whichever is closer.

  • In the event a guest cannot be transported to the nearest EMS provider or medical facility safely, tour staff will contact EMS for alternative rescue transportation.

GUEST GUIDELINES:

​2.1. Safety Briefing:

  • All guests must attend a safety briefing before the tour starts.

  • The safety briefing will cover the guidelines outlined in this manual and any other relevant safety information.

2.2. Physical Fitness:

  • Guests must be physically fit to participate in the tours.

  • Guests must inform the tour operator of any physical limitations or medical conditions that may affect their ability to participate in the tour.

  • Staff will make every reasonable accommodation necessary to support participation of guests who experience mobility limitations or a handicap that might otherwise present a barrier to participation. Final decisions concerning guest accommodation will be determined based on whether the company can reasonably do so with available equipment and staff, and without unduly compromising overall tour and guest safety and experience.

2.3. Dress Code:

  • Guests must dress appropriately for the weather and the tour.

  • Long sleeves and pants are recommended to protect against insects and sun exposure.

  • Closed-toe shoes are mandatory.

  • Raingear and gloves are highly recommended.

2.4. Photography:

  • Guests are allowed to take photographs during the tour, but not at the expense of safety.

  • Guests must not obstruct the view of other guests or the tour guide while taking photographs.
